Privacy Policy

inSynergy Wellness ("we", "us", "our") respects your privacy. This policy explains what personal information we collect, why we collect it, and how it's handled, in line with the New Zealand Privacy Act 2020.
What we collect
- Contact enquiries: name, email address, phone number, and any message details you provide through our contact form.
- Sauna bookings: name, email address, and phone number; payment details (processed directly by Stripe — we never see or store your full card number); and, if you cancel a bank-transfer booking, the bank account details you provide for a refund.
- Website usage: standard technical information collected automatically by our hosting provider (e.g. IP address, browser type), used only for security and site performance.
Why we collect it
- To respond to enquiries about coaching services.
- To process, confirm, and manage sauna bookings, including sending confirmation emails, calendar invites, payment reminders, and cancellation/refund notices.
- To process payments securely and issue refunds where applicable.
- To meet our own legal and tax record-keeping obligations.
Who we share it with
- Stripe (payment processing) — handles all card payment details directly; we never receive or store full card numbers.
- Formspree (contact form delivery) — routes contact form submissions to our email.
- Hnry (accounting) — receives income totals for tax purposes; does not receive your individual booking details.
We do not sell or rent your personal information to anyone, ever.
How we store it
Your information is stored in a secure database. Access to booking and customer records is restricted to authorised staff only, protected by password authentication.
How long we keep it
We retain booking and customer records for as long as necessary to meet our business and tax obligations (generally in line with New Zealand's standard 7-year tax record-keeping requirement), after which it is securely deleted.
Your rights
Under the Privacy Act 2020, you have the right to ask what personal information we hold about you, request a correction if anything is wrong, and make a complaint if you believe we've mishandled your information. You can also complain to the Office of the Privacy Commissioner at any time.
Cookies
Our payment processor, Stripe, may set cookies as part of its fraud-prevention and security processes during checkout. We don't use tracking or advertising cookies ourselves.
